Privacy and Contact Policy

This policy sets out how we will use your data and the way in which we will use it to contact you. By signing up to our systems and/or attending one of our events, you consent to all aspects of this policy. You cannot take part in the club without giving this consent.
Your data will always be kept securely in line with GDPR regulations, and will only be used by the club, for club purposes only.
We will not sell or distribute your data to third parties. The exception is that we may pass your contact details to a successor club if this is agreed by our Steering Group on dissolution of the club or merger into another. You will be informed of this decision at the time.
Contact and personal details
Your contact details will be provided to us by you usually when signing up to our events management platform (currently Spond). You consent to these details being used within the club in any way we deem necessary, including external transfer to other events management or communication platforms or databases (“our systems”)
You may request to be removed from Spond at any time.
Upon removal from our events management platform, your emergency / next of kin contact details will be erased from our systems.
All other details will be retained within our systems. This will include, and is not limited to, your email address, telephone number, and event attendance history. We may continue to use these to contact you unless you expressly request otherwise.
To remove your details entirely from our systems, please contact us by email. Please note, this will not be inclusive of social media, or our Whatsapp or similar platforms. You must manually remove yourself from these if you wish to do so.
When leaving our events management platform, you will continue to receive emails from us. To stop this, use the unsubscribe feature provided in the footer of each email. Please note, this will not remove your details from our systems. This must be specially requested.
Event photos
By taking part in or attending our events, you consent for any photos you take and provide to us or to one of our members or attendees, or any photos of you taken by us or our members or attendees, to be used for any purposes we deem required until any date we deem required.
This will include, but is not limited to, social media, marketing, web and print articles, and commercial promotion with our brand or third party partners.
When you provide us or our members or attendees with photos taken on our events, you waive any form of copyright or requirement for attribution to you under all circumstances. This also includes any artwork you create for our use.
To appear in photos on our events may indicate in public that you are or may be LGBTQ+.
To opt out of photos of you being used by us, you must inform the ride captain and other members of the group during the ride briefing on each and every event you attend. If you are not comfortable with this, as we are unable to effectively control the use of photos taken by our members, we request that you do not attend our events.
By joining our club or attending our events you hereby waive the right to being litigation against us or our members and partners for any and all of the matters above.
